Privacy Policy
TOP SESSION Ltd ("Organiser") respects and values your privacy. The Organiser has developed this privacy policy ("Privacy Policy") to inform you about how your personal information ("Personal Data") is collected and processed.
The Organiser processes your Personal Data in compliance with the rights of natural persons and the rules for processing Personal Data in accordance with Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data and repealing Directive 95/46/EC (General Data Protection Regulation) (the "Regulation") and other data privacy and data processing legislation.
This Privacy Policy shall take effect from the moment you have given your personal data in the registration form ("Registration Form") on the online platform for your or another person's application to take part in the "17th Conference of Baltic Child Neurology Association 23-25 May 2024" conference ("Event").
Purposes for processing personal data
The Organiser processes your personal data or other personal data that you have given for the following purposes:
to register for the Event and to ensure participation in the Event;
for processing payment for participation in the Event (if you are the payer);
to communicate with you in relation to your participation in the Event;
sending you information materials about the Event, if you have opted to receive them;
sending you information material about other services offered by the Organiser, if you have opted to receive such information.
Categories of personal data
The following Personal Data may be processed for the purposes set out above: your or your nominee's name, contact details, job title (if provided), payment details (e.g. account number) if the entry fee is paid by an individual, photos and videos, other Personal Data - any additional information or comments you provide containing Personal Data.
Photography, filming and live video streaming may be carried out at the Event. In this case, information signs will be placed at the entrance to the Event showing that the Event is being photographed, filmed or video streamed. Photographs and videos of the person may be posted on the Organiser's website and/or social networks, as well as in the media.
If you do not wish to be featured in photographs and/or videos, please contact the Organiser prior to the Event - the Organiser will take proper steps to the best of its ability to ensure that you are not photographed or filmed.
Legal basis for processing personal data
The legal basis for processing your Personal Data is the performance of a contract (Article 6(1)(b) of the Regulation), your consent to the processing of Personal Data (Article 6(1)(a) of the Regulation), the legitimate interests of the Organiser (Article 6(1)(f) of the Regulation) and the performance of the legal obligations of the Organiser (Article 6(1)(c) of the Regulation).
Data controller and data processors
The Organiser shall be considered a data controller within the meaning of the Regulation for the processing of your personal data or the personal data of any other person that you have provided in the Registration Form.
Your personal data is or may be transferred for processing to third party data processors for the purpose of the performance of the service or in the cases supported by regulatory enactments, including the provider of the Mitto.me platform, ABC Idea Ltd, which supplies registration and payment collection services to the Organiser.

The Organiser takes proper contractual and organisational measures to ensure that your Personal Data is processed only for the purposes set out in this Privacy Policy and only by applicable law and in compliance with the relevant instructions of the Organiser and privacy and security measures.
The Organiser may be obliged to transfer your Personal Data to public authorities or officials in the cases supported by regulatory enactments and/or upon their request. The Organiser is obliged to provide you with detailed information about the recipients of your Personal Data upon your request, except where disclosure of such information is prohibited by law.
Requests for information about the persons to whom the Organiser has transferred your Personal Data for processing should be sent to the Organiser's e-mail address: events@topsession.eu.

Duration of storage of personal data
The Organiser shall keep your Personal Data for as long as is necessary for the purpose for which the Personal Data is processed:
Personal Data processed for the purposes of registering your participation in the Event, communicating with you about the Event, ensuring the conduct of the Event, sending you information materials about the Event, summarising the conduct of the Event will be kept for a largest period of 2 years;
Personal data processed for the purpose of collecting payments shall be kept for the period specified in the laws and regulations governing accounting;
Personal data processed for the purpose of performance of the contract for participation in the Event shall be kept for as long as you or the Organiser can exercise their legitimate interests arising from the relevant contract;
Personal data processed for the purpose of sending informative communications by the Organiser which are not related to the Event are kept until you have withdrawn your consent to receive informative communications. You may withdraw your consent to receive non-Event-related communications by sending a notice to the Organizer's email address: events@topsession.eu. Upon receipt of such notification, all Personal Data processed for this purpose will be removed at once.
Data security
The Organiser shall take proper technical and organisational measures to ensure the secure processing of your Personal Data. The Organiser applies proper security policies and procedures to protect your Personal Information from unauthorised access, unauthorised processing or disclosure, alteration or destruction. Your Personal Data is stored in information systems with restricted access: it is accessible only to those persons who need it and who have committed to respect the conditions of confidentiality with regard to the processing of Personal Data.
Your rights
a) Right of access: you have the right to know whether the Organiser processes your Personal Data and what Personal Data the Organiser has access to, as well as the right to request more precise and detailed information about the processing of Personal Data;
b) Right to rectification: The Organiser is obliged to rectify erroneous Personal Data and to clarify incomplete Personal Data;
c) Right to erasure: The Organiser is obliged to erase your Personal Data upon your request in the cases supported by the regulatory enactments;
d) Right to restriction of processing: The Organiser is obliged to restrict the use of Personal Data upon your request in the cases supported by the regulatory enactments;
e) Right to data portability: you have the right to receive Personal Data made available by the Organiser in a structured, commonly used and written format in the cases provided for by law;
f) Right to object: where the Organiser processes your Personal Data on the basis of legitimate interests, you have the right to object to the processing of your Personal Data for that purpose. You may object at any time to the processing of your Personal Data for direct marketing purposes and the Organiser is obliged to stop such processing.
g) You have the right to lodge a complaint with the Data Inspectorate.
